Clinical Sites & Site Supervisors

(for Facilities & Institutions)

Goal: establish safe, developmentally appropriate local placements where chaplain interns practice chaplaincy with clear role, supervision, and accountability.
 

What counts as a clinical site? Hospitals, hospices, longterm care, rehab, behavioral health, outpatient/community clinics, correctional, military/first responder agencies, and comparable settings that offer routine spiritual care encounters with patients/families/staff.


Site Supervisor (role & qualifications): A designated professional at the facility (e.g., lead chaplain, nurse manager, social worker, physician, or program director) who:

 

  • Provides orientation to site protocols, safety, scope of practice, and (where applicable) charting.

  • Verifies scheduling and weekly hours; signs the Weekly Clinical Hours Log.

  • Offers point of care coaching and feedback about role, professionalism, and team processes.

  • Communicates with the Clinical Chaplaincy Supervisor about progress or concerns.

  • Holds licensure/credential appropriate to setting or relevant supervisory experience in clinical operations/spiritual care; familiar with institutional policies and team workflows.

Clinical Chaplaincy Supervisor (CC faculty) does NOT replace the Site Supervisor. The Clinical Chaplaincy Supervisor handles educational supervision (group/individual, case studies, Tavistock seminar, evaluations) and coordinates with the Site Supervisor as needed.

Chaplain Intern responsibilities at the site:

​

  • Maintain safety, professionalism, confidentiality (HIPAA), and scope; comply with site on-boarding.

  • Evenly distribute clinical days/hours throughout the unit (avoid front/back loading); coordinate with the Site Preceptor for schedule changes.

  • Submit Case Studies to Clinical Chaplaincy; do not transmit PHI to Clinical Chaplancy systems.

Placement selection & approval:

 

  1. Student proposes a site (using the Placement Proposal Form).

  2. Site Supervisor and designates a Site Readiness ChecklistSite completes the

  3. Clinical Training Agreement Clinical Chaplaincy reviews and, if approved, all parties sign the

  4. Student begins clinical work after site onboarding and insurance/clearances are completed.

Documentation flow:

 

Weekly Clinical Hours Log → MidUnit/Final evaluations (site feedback solicited) → Unit completion sign-off.
